IFP School relies on Meibo, the solution from Ilex International to modernise its Information System

As part of the modernisation of its Information System, IFP School uses the Meibo solution from Ilex International to streamline its administration and automate arrival, mobility and departure processes for its students. Meibo enables IFP School to develop its Web applications and manage the content of its directory in a simple and easy way.

IFP School, an internationally renowned school in the energy and transport sectors

Located in the greater Paris region, IFP School is an engineering school offering training in the energy and transportation sectors. As an integral part of IFP Energie nouvelles (a research, innovation and training centre for energy, transportation and the environment), IFP School prepares tomorrow’s specialists to meet the energy transition challenges. IFP School is open to graduates of higher education and offers a range of French and English programs for energy-related fields (oil, gas, petrochemicals, powertrains, new energy technologies, energy markets). Enjoying close links with the worlds of research and industry, the School has acquired an international reputation as evidenced by the presence in its classes of 50% of international students from fifty countries and 80% of students receiving industry funding for their studies.

Harmonise and centralise the management of the various actors in the school: A key issue for IFP School

In 2005, the IFP School’s management team found that it was necessary to modernise its Information System and thus launched a Web portal project to centralise and harmonise all of the data about students and school personnel. The "eCampus" portal was then created. But soon, the IFP School project team where faced with the limits of the existing CMS which did not allow fine-grained user management.

Following the advice of one of its service providers, IFP School then looked at the Meibo solution from Ilex International. Meibo is a tailor-made solution which allows users to manage and publish directory data via ergonomic and intuitive interfaces, and implement a unique repository.

Christophe Corlay, Information System Manager at IFP School, remembers: "Before 2005, the information was not centralised and data management was done manually and individually, through Excel files. We had to bring changes to the Information System, we needed to modernise and structure it to make it more efficient."

A unique repository for all centralised applications

Thanks to the Meibo solution, the project team was able to implement a unique repository centralising all useful data. Today, it comprises about 1,000 students and 500 school employees and external personnel (teachers, apprenticeship managers, training supervisors, contractors, etc.).

This repository serves as a basis for all the application modules developed by IFP School for its users. Indeed, since 2005, the school has developed more than a dozen applications to provide its students and personnel with strong added-value services. There are, for example, applications for the management of school reports and scholarship students or even an application allowing students to give their feedback after each course. Meibo groups about twenty lists of useful data on which applications are directly based. Thus, when completing their application files, students do not have to manually fill certain fields (title, home school, country, family status, diploma, financing...), they can simply select the desired information in a choice list. This way, we obtain consistent and structured information.

Each application is based on the Meibo directory, which also enables the management of user allocations and the definition of their access rights and authorisations. Thus, there is no room for inconsistencies, everything is managed centrally.

Christophe Corlay explains, "The wide range of product functionalities helped us enhance the students’ forms by adding photos and specific information such as education, recruitment level, diploma sought or length of training. Meibo enables us to structure our data and manage very varied populations in a simple and easy way."

Besides, thanks to a workflow system, IFP School can now manage the students’ records from end to end or, in other words, from the online application (account creation) to the diploma (archive).

According to Christophe Corlay, "Each new application easily interfaces with Meibo and is based on it. It is a robust, stable and reliable solution. The whole of our infrastructure is based on Meibo. In a way, it is the heart of the school’s Information System!"
